Terms & Conditions for made-to-order, semi-bespoke and fully bespoke pieces
These terms and conditions are relevant to bespoke, semi-bespoke and made-to-order pieces where mentioned. By placing an order, paying a deposit, or purchasing through my website, you confirm that you have read, understood, and agree to be bound by the following Terms and Conditions. These Terms and Conditions constitute a legally binding agreement between us - Robyn Smith (the Maker) and you (the Client).
1a. What is a Made-to-Order Piece?
Made-to-order pieces are existing designs from my website or collection, produced specifically for you. A limited range of minor alterations is available, including changes to stone colour, metal, and ring size. Made-to-order pieces are not bespoke commissions and do not involve a design process.
1b. What is a Semi-Bespoke Piece?
Semi-bespoke pieces involve adapting one of my existing ring designs to incorporate a central stone or a number of principal stones, resulting in an engagement ring or occasion ring. The overall form of the piece is informed by my existing designs rather than being conceived entirely from scratch.
Semi-bespoke pieces are priced from £2,300, inclusive of all materials, craftsmanship, and UK VAT.
1c. What is a Full Bespoke Piece?
Full bespoke commissions are designed entirely from scratch, independent of existing Robyn Smith designs but still with the same signature style. The design is built around your brief.
Full bespoke commissions carry a minimum spend of £4,000, inclusive of all materials, craftsmanship, and UK VAT.
All engagement rings are available with diamonds, sapphires, or rubies as the primary stone only. These are the sole stone types considered sufficiently durable by me for use in a solitaire or principal setting for everyday wear. For wedding bands or smaller accent stones, other gemstones - including tourmaline, peridot, and other faceted stones - may be used at my discretion. Particularly fragile stones such as emeralds may be incorporated in occasional wear rings only, but will always be accompanied by a written disclaimer, and I accept no liability for damage to such stones resulting from normal wear.
2. Scope of Service
Made-to-order includes minor adaptations including changing the stone colour, metal or ring size.
A semi-bespoke commission includes the following:
- One round of up to four initial design drawings or mockups
- One round of design alterations
- A set of CAD renders
- A 3D resin print for fitting purposes, or a wax model with photographs where hand-carving is employed (the method used is at my discretion)
- Stone sourcing
Full bespoke includes all of the above with an additional round of design alterations and one round of CAD render alterations if needed.
Additional design views such as side elevations may be provided on request and do not constitute a round of alterations.
Where a proposed design diverges substantially from the existing ring on which it is based, I reserve the right to reclassify the commission as a full bespoke project and issue revised pricing. I will notify you promptly if this is the case.
Additional rounds of design drawings or CAD alterations beyond those included are available at £50 per round of drawn designs and £60 per round of CAD alterations
3. The Design and Production Process
In most cases for semi-bespoke and bespoke, design work will commence using a sample stone, with stone sourcing beginning once the design direction has been established. Where the design is already determined at the outset, stone sourcing and design development may proceed concurrently.
I source the majority of stones from trusted specialist dealers, a number of whom operate internationally. Stones cannot be fully secured until payment has been received. Where possible, I will request that a stone be placed on hold while your invoice is being prepared.
All queries and requests for changes must be raised during the design phase, prior to the piece entering production. Once production has commenced, alterations may not be possible or may incur additional charges.
4. Quotes
All quotes are valid for the period stated in the accompanying email. Where no validity period is specified, quotes remain valid for one month from the date of issue. Following expiry, prices are subject to change and a revised quote will be issued on request.
5. Payment
A deposit of 50% of the total agreed cost is required to secure stone sourcing and initiate production. The remaining balance is due within two weeks of the final invoice being issued, unless otherwise agreed in writing. Payment of a deposit or the full balance constitutes your acceptance of these Terms and Conditions.
6. Design Approval and Sign-Off
Upon approving the CAD renders or wax model, you confirm your acceptance of the finalised design and authorise the piece to proceed to production. From this point, the design is considered agreed and binding.
Alterations requested following sign-off are strongly discouraged, as they may compromise the integrity of the piece or result in delays. Where changes are considered essential, they may be accommodated at my discretion and will be quoted accordingly.
7. Timelines and Delays
An estimated production timeline will be provided following receipt of your deposit, and updated once the design has been approved. All estimates are predicated on a client response time of 48 hours. Delays in communication will extend the overall timeline accordingly.
Timelines may also be affected by circumstances outside my control, including stone availability, supplier lead times, or unforeseen personal circumstances. I will notify you of any such delays at the earliest opportunity and will work with you to agree a revised timeline that meets your needs wherever possible.
8. Cancellations and Returns
All pieces made to order are exempt from the standard statutory right of return under UK consumer law. No refunds will be issued on the basis of a change of mind once production has commenced.
Where the finished piece does not correspond to the approved design or wax model, with the exception of handmade variation detailed below, I will rectify this at no cost to you. Where the piece does correspond to the approved design but you wish to make a further change, I will make every reasonable effort to find a workable solution, though any additional costs will be assessed on a case-by-case basis.
Your satisfaction with the finished piece is of the utmost importance to me, and I will always seek to resolve any genuine concerns that arise.
9. Handcrafted Variation
All pieces are cast and finished entirely by hand. As a result, there will be natural variation between your finished piece and any CAD renders, website images, or sample pieces you may have seen. Textures and surface details applied by hand will differ from piece to piece - this is a characteristic of handcrafted work and a sign that your piece is genuinely one of a kind.
Natural stones may also vary slightly in colour, tone, and clarity from samples shown, as no two stones are identical. If you have any concerns about variation prior to dispatch, for the piece itself or stones it contains, I am happy to provide photographs or video upon request.
10. Ring Sizing
Due to the organic nature of many of my designs, sizing may vary slightly between individual pieces and standard ring sizers. Each piece includes one complimentary resize within a reasonable period of receipt. Any subsequent resizes will be charged at the prevailing rate, available on request.
11. Client-Supplied Materials
Where you elect to supply your own stones or gold for use in your piece, the following terms apply.
Stones: The setting and remodelling of natural stones carries an inherent risk of chipping, cracking, or fracture. Whilst every care will be taken, I accept no liability for damage to a supplied stone that occurs during the manufacturing process. I strongly recommend that you arrange insurance for your stone prior to sending it to me, and I accept no liability for loss or damage incurred during transit to my studio.
Upon receipt, I will photograph your stone and make a written record of its condition. Where a stone is set within existing jewellery prior to receipt, it may not be possible to carry out a full inspection before work commences.
Suitability: If a supplied stone or gold is determined to be unsuitable for the intended design or casting process, I reserve the right to advise against proceeding. Where alternative materials are required, these will be sourced at your cost.
Gold: The casting process results in an approximate material loss of 2% of the supplied gold by weight, with further minor losses during cleanup, polishing, and the casting button process. Any gold remaining following casting will be returned to you or credited against your order, as you prefer.
12. Dispatch and Delivery
No piece will leave my workshop until payment of the final invoice has been received in full. Once full payment has been confirmed, your piece will be prepared for dispatch or collection as agreed.
